DETAILED SPECIFICATIONS PIERCE TRANSIT VENDING SERVICES

VENDING SERVICES REQUIRED
Contractor shall provide 24-hour vending machine service at the following facilities:
- Pierce Transit Administrative Building 3701 96th Street SW, Lakewood, WA.
- Pierce Transit Maintenance Building, 3701 96th Street SW, Lakewood, WA.
- Pierce Transit layover site, 1720 Broadway, Tacoma, WA.
- Pierce Transit Turnaround/Layover Facility at 9th and Commerce, Operator's Lobby.
- Other facilities may be added upon mutual agreement by both parties.
VENDING SPACE
Vendor will confine its vending service to the space allocated for such purpose by Pierce Transit. Prior to the installation of any equipment, contractor shall provide schematic drawings with photos of examples of other installations showing their configuration and aesthetic setting. Pierce Transit will review these submittals and approve installation plans prior to installation of any equipment. Pierce Transit will furnish all electrical outlets.
AUTOMATIC VENDING MACHINES
Automatic vending machines shall be new and/or be of good quality. All vending machines shall be attractive in appearance using the latest designs in the marketplace and shall reasonably match each other in color and style. Proposer shall submit pictures or brochures of proposed machines.
Vending machines must accept any combination of nickels, dimes and quarters. Contractor shall supply a dollar bill/coin changer at all locations. Contractor shall provide a microwave oven at each location (two each in the Maintenance and Administration buildings) where cold vended foods are to be sold. The vendor shall supply related condiments and plastic utensils.
All machines are to be installed by the contractor at no charge to Pierce Transit. Vending machines shall remain the property of the contractor. The contractor shall, at all times and at its expense, be responsible for all service, maintenance and repair of its vending machines. Machines shall be maintained in good repair and service shall be provided within four (4) hours of verbal notification. Seven day a week service must be provided. Vending machines shall be restocked daily.
The contractor shall add or replace vending machines at the discretion of Pierce Transit without undue delay. Permission to relocate, exchange or remove vending machines must be approved in advance by Pierce Transit.
Pierce Transit's vending machine requirements at each location are as follows:

PRODUCT CONTAINERS
For safety reasons, Pierce Transit prefers plastic containers or cans instead of glass.
FOOD QUALITY AND VARIETY
The contractor will provide high quality, fresh merchandise. All food products will be removed from vending machines on the date that their freshness dating expires. All sandwiches and salads will be considered past-dated after three days. All other products will be considered past-dated according to the manufacturers' freshness date stamped on the package. Proposers may be required to provide product samples for use in the analysis of their proposal. A variety of vended goods will be provided in a manner so the employees are offered choices at frequent intervals. Pierce Transit shall determine whether contractor's food is of satisfactory quality and whether sufficient variety is being offered. Pierce Transit reserves the right to request specific products to be dispensed in vending machines on its premises and shall have the final right of approval on all types of products. The Agency intends to take an active role in the selection of products to be vended on its premises. An employee group will be formed for this purpose and quarterly reviews with the vendor will take place for the purpose of determining product selection and quality evaluations of vended products. Alcohol and tobacco products will not be vended on Pierce Transit's premises.
PRICING FOR VENDED PRODUCTS
Contractor shall price vended foods at the prices specified in their proposal. It is recognized that price changes, resulting from changes in the contractor's costs, may occur from time to time over the course of the contract. The contractor shall notify Pierce Transit at least one week in advance of any proposed price change. Such price change shall not occur without Pierce Transit's approval and shall require supporting documentation that the contractor's cost of the affected item has increased.
METHOD OF PAYMENT
Contractor shall pay Pierce Transit the percentage of gross sales bid on a monthly basis within fifteen (15) days following the end of the month. An accounting of product sales shall be provided with each remittance.
AUDIT
Contractor shall permit the authorized representative of Pierce Transit, the U.S. Department of Transportation and the Controller General of the United States to inspect and audit all data and records of Contractor relating to their performance under this agreement.
TERM OF CONTRACT
The contract duration will be one (1) year with the option for additional one-year extensions.
